POSITION SUMMARY

This position provides administrative support to the assigned department; and provides responsive, courteous, and efficient customer service to patrons.

ESSENTIAL FUNCTIONS

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. To perform this job successfully, an individual must be able to perform each duty satisfactorily. Other duties may be required and assigned.

Not all duties may be assigned to each position. The allocation of duties for this position will be dependent upon the department/division assigned.

1. Provides administrative and management support services to the department assigned.

2. Generate a positive image by communicating detailed and accurate information with internal/external customers in a timely and efficient manner and conducting such business in a professional manner.

3. Receives and screens calls and visitors. Pre-screens, sorts, and distributes incoming and outgoing mail.

4. Prepares and coordinates written communication.

5. Determine staff calendars based on priorities of the organization, schedule appointments and coordinate meetings, and provide for meeting and travel arrangements.

6.Performs department specific fiscal duties

a. Completes accounts payable processing for the Department under standardized procedures; enters purchase requisitions, tracks, and prepares purchase orders; verifies and processes invoices for payment.

b. Prepares multiple financial reports and spreadsheets requiring selection, preparation and interpretation of data as requested.

c. Maintains accounting record keeping systems for tracking and reporting in accordance with City processes.

d. Enters departmental payroll and reviews and tracks hours as needed.

e. Assists with budget preparation and monitoring for all departmental divisions. Prepares month-end financial reports for Director.

f. Reviews monthly credit card statement and follow-up on any discrepancies. Tracks budgetary expenditures.

g. Reviews invoices and process vouchers for payment for assigned departments.

h. Assists with completing required grant reporting documents for submittal.

7. Coordinate and prepare agendas and supporting documentation for meetings as assigned. Takes meeting minutes as assigned.

8. Makes recommendations regarding the analysis and review of procedures, and workflow.

9. Provides administrative support to special projects and general local government activities including organizational, financial, and strategic initiatives.

10. Provides administrative support to policy creation, review and development. Ensures proper guidelines and formats are utilized and maintain database for tracking development.

11. Provides customer service to internal and external customers; greets, receives and screens visitors and customers; addresses and resolves customer questions as able and refers complex inquiries, requests, or complaints to other appropriate staff as needed.

12. Picks up, sorts, copies, and distributes a variety of correspondence, deliveries, and mail; opens, logs, and routes office mail; sorts and prepares outgoing mail and documents for pickup; retrieves, delivers, and sends faxes.

13. Composes specialized and confidential correspondence; proofreads and edits; enters, scans, updates, and maintains information in spreadsheets, databases, and reports.

14. Creates and maintains department filing and record systems and provides retention of records as required.

15. Receives customer complaints that cannot be resolved at a lower level. Refers to appropriate staff to work to resolve the issue.

16. Performs and participates in special projects as assigned.

17. Purchases and monitors office and operational supplies.

18. Provides assistance to other department personnel as needed.

19. Other duties as assigned.

Job Type: Full-time

Pay: From $14.85 per hour

Expected hours: 40 per week
